EPCOR’s North American Commercial Services (NACS) group is hiring a
Coordinator, Business Operations & Office Support for a part-time, permanent position based in Calgary, AB.
As the Coordinator, Business Operations & Office Support, you will manage the office of the Director, Commercial Operations, and provide administrative and coordination support to the broader Commercial Operations leadership team. This includes overseeing day-to-day administrative functions, coordinating events, resolving facilities and purchasing issues, and supporting the implementation of new technologies and operational processes. You will also act as a key liaison between Commercial Operations and Information Technology and support the use and maintenance of internal systems and tools.

What you’d be responsible for
Reporting to the Senior Director, Commercial Operations, and working closely with senior leaders. Key responsibilities include (but are not limited to):
- Providing full administrative support to the Senior Director, including calendar management, travel arrangements, and coordination of director-led events, while anticipating needs and making decisions independently where appropriate.
- Supporting the execution of department and business plan deliverables, including organizing team events and managing milestone recognition activities.
- Coordinating and administering operational processes, including tracking confidential reports, action items, and department planning materials.
- Acting as a liaison with internal teams (e.g., IT, Security, Finance) and external vendors to coordinate services, resolve issues, and support operational continuity.
- Supporting the use and maintenance of internal systems and tools, including SharePoint sites and other business platforms, ensuring content accuracy and usability.
- Maintaining and tracking confidential operational reports, action items, and business planning documents.
- Investigating and resolving administrative and process-related issues (e.g., telecom billing, equipment requests, internal service requests) by navigating EPCOR systems and coordinating with relevant stakeholders.
- Managing purchasing-related activities for the Commercial Operations team, including PCard expenses, invoice processing, accurate account coding, monthly reconciliation, and resolving discrepancies on Oracle.
- Planning and delivering department events, coordinating logistics such as venue selection, A/V setup, catering, and budget tracking.
- Providing back-up support to peers and contributing to cross-functional team effectiveness as needed.
What’s required to be successful
To thrive in this role, the ideal candidate will bring a combination of education, experience, and key competencies:
Education:
- High school diploma is required.
- Administrative Professional Certificate or Diploma in Business Administration, Office Management (or related discipline) would be an asset.
Experience that includes:
- 5+ years of related office management experience, in a senior administrative or coordination role, ideally supporting multiple leaders or departments.
- Planning and coordinating office events and supporting operational or business processes.
- Familiarity with EPCOR systems and processes is considered an asset but not required; we value adaptability and a strong learning mindset.
Skills & Competencies:
- Strong organizational, time management and problem-solving skills with the ability to manage competing priorities effectively.
- Excellent interpersonal (social) and communication (both verbal and written) skills, with a proactive, service-oriented mindset.
- High level of discretion and professionalism in handling confidential information.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), with comfort in learning new systems.
- Proficiency in SharePoint site design and administration is considered an asset.
- Ability to collaborate across teams, self-manage, and work independently.
- Strong analytical and process-oriented thinking, with the ability to identify issues, navigate internal processes, and coordinate resolutions.
- Ability to support evolving tools, systems, and technologies in a dynamic work environment.
- Highly skilled in developing and organizing workflow processes, ensure quality, and deliver timely services.
